Job Title: 21st CCLC Site Coordinator| Seasonal Position

Wage/Hour Status: Exempt / Grant Funded Academic School Year 2023-2024

Reports to: 21st Century Project Director 

Pay: 30 hr/wk, $32,000 salary                                                                                     

Schedule:
Monday - Thursday, 1pm - 7pm (6 hours)
Friday, 9am - 3pm (6 hours)
Weekends and Evenings as needed

Supervision

  • The Site Coordinator works under the day-to-day supervision of the partner school principal, 21st Century Community Learning Center Project Director, and Girls For A Change (GFAC) Program Assistant and Tutor synthesizing 21st CCLC program development with the overall goals of the partner school.

Job Description

The Site Coordinator manages student information, including registering students and keeping daily attendance, establishes and maintains programs that promote improved student achievement, ensures that students are safe, and develops parent involvement and service activities for the parents of the students enrolled. The Site Coordinator will work both in the school setting and at Girls For A Change Branch. The Site Coordinator works to create programming that supports student success by creating academic support, learning extension, and wellness programming with youth and parents at a partner high school. The coordinator conducts parent outreach, manages program logistics, and works directly with students during out-of-school time programming. The Site Coordinator oversees and leads all aspects of the coordination and implementation of programs on District sites, including components such as academic enrichment, technology, workforce and college readiness, community service projects, life skills, and parent engagement. The Site Coordinator is responsible for recruitment of students to programs, and follow-up communication with parents/families. The ideal candidate will have a commitment to our mission, experience and passion for working with young people, a forward-thinking mindset, and willingness to be flexible and responsive to the needs of a growing organization with expanding programs. In addition, this individual will demonstrate ownership of their work and operate as an organizational leader.

Education/Certification Qualifications

  • Relevant Bachelor’s degree, or equivalent combination of education and experience
  • College coursework in education/youth issues preferred 
  • CPR and first aid certifications Virginia Teaching Certification preferred 
  • Project Management Certification
  • Bilingual is a plus (Spanish preferred) 
  • Girl-centered, skills-building program experience 
  • Friendly and upbeat personality

Job Duties

  • Create an environment that facilitates the achievement of Youth Development Outcomes and the mission and vision of Girls For A Change.
  • Manages student information Including registering students and keeping daily attendance, establishes and maintains programs that promote improvement. 
  • Ensures students are safe, and develops parent involvement and service activities for the parents of the students enrolled. 
  • Understands and Implements GFAC values and a role model for GFAC participants. 
  • Documents all outcomes and objectives as needed in reports via TransACT. 
  • Provides accurate financial documentation and management for the site, documenting all purchases, saving receipts, and following the proper procedure according to the 21st Century Guidelines. 
  • Support in hiring part-time tutors and speakers, and recruit volunteer staff.
  • Builds and maintains a positive and effective working relationship with Meadowbrook faculty and staff at all times. 
  • Recruits and sustains a minimum of 50 participants in the program for the academic school year. 
  • Supervises the performance of tech instructors, tutors, program volunteers, and facilitators.
  • Provides leadership at special programs and/or events. 
  • Makes a positive contribution to after-school team.
  • Actively recruits students who are recommended for the program by teachers, counselors, and administrators.
  • Demonstrates flexibility and ability to manage situations of ambiguity, including helping monitor and supervise youth during the after-school hour program.
  • Updates and maintains skills in use of current technology and information management systems. 
  • Develops partnerships with parents, community leaders, and organizations. 
  • Maintains daily contact with principal, teachers, after-school staff and volunteers, and facilitators to discuss issues, challenges and opportunities.
  • Provides and receives information as warranted. Provides guidance and management to youth.
  • Attends weekly meetings with Girls For A Change staff while also maintaining contact with other youth-serving agencies, schools, and parents of participants.
  • Successfully advances initiatives outlined in the 21st Century Grant awarded to Girls For A Change. 
  • Performs other duties as assigned.

 

Experience

  • Two years’ experience with out-of-school program management preferred. Experience with child development or leisure studies preferred. Demonstrated ability to effectively work with others and provide leadership to youth and adults.

Management Duties

Team Work

  • Work with GFAC teams and community members to identify information needs and appropriate methods for communicating with the community. 
  • Meet regularly with community-based organizations (CBOs), local leaders, and other notables to keep them informed about the program success and challenges.
  • Coordinate and facilitate monthly integrated community meetings with other sector staff, partners, and parents. 
  • Take the lead in maintaining and updating community notice boards and support developing flyers, posters, and other materials. 
  • Work with technical advisors, field teams, and others to develop messages and delivery for program participants and the community. 
  • Collaborate with field teams to roll out messages and collaborate with the design, monitoring, and evaluation team to monitor the messages’ effectiveness.
  • Attend regularly scheduled meetings with GFAC Full-time staff members.

Technology Skills

  • Must be computer literate with proficiency and working knowledge of database and reporting tools such as Microsoft Word, Excel, Access, and PowerPoint. 
  • Computer and design skills including proficiency in Google Suite, Excel, Word, PowerPoint, HTML, Canva, Alpine, Gravity Form Adobe, and design applications. 
  • Ability to use spreadsheet and data analysis software to understand and communicate data trends.
  • Proven skills in leveraging social media including Instagram, X  (formerly Twitter), Facebook, YouTube, and LinkedIn 
  • Manage online platforms (Mailchimp, social media, Website, Google Drive, etc.)

Data Collection, Analysis & Tracking

  • Conduct a comprehensive intake interview to identify the student’s interests, strengths, and specific barriers or challenges impeding successful engagement in school and academic performance.
  • Review student transcripts, records, and historical school data to guide student conversations, school placement recommendations, and transition/support plans.
  • Monitor student academic progress, attendance, and behavior and provide personalized interventions as needed to keep the student enrolled in the school and on-track for graduation.
  • Maintain accurate records of student progress and submit monthly student activity logs and required documentation.
  • Capture feedback from program participants and others, and share this feedback with the appropriate manager for action.
  • Develop, adapt, and maintain strong program evaluation processes that both guide program quality improvement and fulfill funder requirements, including data collection, tracking, and analysis.
